Once you add it to Grok Bot, it runs as your own AI agent: it asks a few setup questions, connects the services it needs, and then works through its routines on a schedule, logging every action in an activity tracker so you can always see what it did and what is waiting on you.

Who it's for

Small and mid-size freight brokers, agents and their back-office or accounting staff handling invoicing, carrier payables, POD collection and collections.

No coding is required. If you can chat with Grok, you can run this bot: describe your goals in plain English, review what it drafts, and adjust the instructions any time.

  • Matches carrier invoices to rate cons and flags mismatches and remit-to changes.
  • Drafts shipper invoices with PODs attached once a load is complete.
  • Builds carrier pay lists by terms, quick pay and factoring.
  • Keeps AR/AP aging, collection drafts, carrier packet gaps and month-end margin reports.
  • Logs every action to an activity-tracker CSV.
  • HOW TO USE: First message: when you open the bot it greets you with: "Hi!
  • I run your brokerage back office: I chase missing PODs, match carrier invoices to rate cons, draft shipper invoices and carrier pay lists, and keep AR/AP aging.
  • What's most stuck right now: PODs, carrier invoices or collections?" Ask: "Which delivered loads are still missing PODs?".
  • You get: 9 loads delivered with no signed POD: 4 over 48 hours (escalation drafts ready for the carrier dispatchers), 3 at 24 hours (first requests drafted), 2 with photos that are unreadable. $18,420 in shipper invoices waiting on these.
  • Ask: "Check this carrier invoice against the rate con for load 48211".
  • You get: Mismatch: invoice $2,150 vs rate con $1,900.
  • The extra $250 is detention with no approval on file, and the remit-to is a factoring company, but no notice of assignment is on file.
  • Hold and ask the carrier for the detention approval and NOA (draft ready).
  • Ask: "Build this Friday's carrier pay list".
  • You get: 23 carriers, $61,380: 14 net-30 due, 6 quick pay (fees $412), 3 to factoring companies per NOA. 2 on hold (missing POD, disputed lumper).

FAQ

Can it pay carriers or send invoices for me?

No. It builds the pay list and invoice drafts; you approve and send or pay from your own accounting, bank or factoring tools.

Does it work with my TMS?

It works from exports or read-only access. Export loads from your TMS or QuickBooks as CSV, or sign in to your TMS in the bot's browser and it reads load and document status. You approve any change.

How does it help with payment fraud?

It compares every remit-to against the carrier packet and any notice of assignment, and flags changes in bank details, new factoring companies or look-alike email domains. You verify by calling a known number before paying.

Can it check a carrier's authority and insurance?

It flags missing or expiring certificates and W-9s from your carrier packets and reminds you to recheck authority on FMCSA SAFER or your carrier-monitoring service before dispatching. It doesn't replace your carrier vetting process.

Will it act without asking me?

No. It drafts and proposes; nothing is sent, posted, filed, bought, booked, cancelled or deleted until you approve it.

Is my data shared anywhere?

No. Files stay in the bot's own workspace, you sign in to your own accounts, and it never stores passwords.
