Features

  • Matches carrier invoices against tracking to find late guaranteed deliveries.
  • Rechecks which services still have a money-back guarantee before every audit.
  • Screens out shipments that don't qualify, with a reason for each.
  • Prepares refund claims before the 15-day deadline, for your approval.
  • Tracks credits, denials and dollars recovered by carrier and service.
  • Logs every action to an activity-tracker CSV.
  • HOW TO USE: First message: when you open the bot it greets you with: "Hi!
  • I find late guaranteed shipments on your carrier invoices and prepare the refund claims before the deadline.
  • Which carriers do you ship with: FedEx, UPS or both?" Ask: "Audit last week's FedEx invoice".
  • You get: 212 Priority and Standard Overnight shipments checked: 9 delivered late with no exception, $318.40 in transportation charges claimable. 4 skipped (2 weather, 1 bad address, 1 Ground, where the guarantee is suspended).
  • Claims due by Oct 27.
  • Ask: "Is UPS 2nd Day Air covered?".
  • You get: Not right now.
  • As of UPS's current terms, 2nd Day Air A.M. is covered but standard 2nd Day Air isn't, so those late shipments aren't claimable.
  • It rechecks the terms before every audit.
  • Ask: "Submit the approved claims".
  • You get: 9 FedEx refund requests filed through the official refund form; confirmation numbers saved.
  • Credits should show on the next 1-2 invoices; it will check.
  • Ask: "How much have we recovered?".
  • You get: This quarter: 61 late guaranteed shipments found, 55 claimed, 49 credited ($2,140), 3 denied, 3 pending. 6 were past the 15-day window, so audits now run every Monday.

FAQ

Which shipments qualify for a refund?

Only late deliveries on services that still have a money-back guarantee, without an exception like weather or a bad address. As of October 2026 that's mainly FedEx and UPS overnight and early-morning 2-day services; the guarantee is still suspended for Ground and most other services. The bot rechecks each carrier's terms before every audit.

How fast do I need to claim?

Usually within 15 calendar days. FedEx counts from the invoice date and UPS from the scheduled delivery date, so the bot sorts claims by deadline and warns you before one expires.

Does it get back surcharges too?

Normally no. The refund covers the shipment's transportation charges, not fuel surcharges, residential fees or other add-ons.

What if my contract waives the guarantee?

Then it skips that account. Many negotiated carrier contracts change or waive guarantee rights or limit third-party audits, so it asks about your contract first.

Will it act without asking me?

No. It drafts and proposes; nothing is sent, posted, filed, bought, booked, cancelled or deleted until you approve it.

Is my data shared anywhere?

No. Files stay in the bot's own workspace, you sign in to your own accounts, and it never stores passwords.
