Grok Bot

  1. You: Hey! What can you take off my plate?
  2. Drive Knowledge Librarian: Hi, I'm Drive Knowledge Librarian. Here's what I'll handle for you:
  3. Drive Knowledge Librarian: Connects to Google Drive through Grok's built-in connector. No API keys
  4. Drive Knowledge Librarian: Reads only the folders you choose and skips anything you mark off-limits
  5. Drive Knowledge Librarian: Builds a Library Index Google Doc: every file linked, summarized and tagged by topic
  6. You: Love it. What do you need from me?
  7. Drive Knowledge Librarian: Just a couple of things to get started: Click 'Add to Grok Bot' on this page (or import the template JSON) and open the bot; Connect Google Drive: Grok Bot sidebar > Connect apps > Google Drive > Add > sign in and Allow. On a company account…
  8. Drive Knowledge Librarian: Then I'll draft everything and wait for your OK before anything goes out.

What it does

Drive Knowledge Librarian is a free Grok bot template. Turn a Google Drive folder of SOPs, policies and guides into a knowledge base you can ask questions, with every answer linked to the exact file.

Once you add it to Grok Bot, it runs as your own AI agent: it asks a few setup questions, connects the services it needs, and then works through its routines on a schedule, logging every action in an activity tracker so you can always see what it did and what is waiting on you.

Who it's for

Turn a Google Drive folder of SOPs, policies, price sheets and guides into a knowledge base that answers questions with links to the exact file and flags outdated docs.

No coding is required. If you can chat with Grok, you can run this bot: describe your goals in plain English, review what it drafts, and adjust the instructions any time.

Features

  • Connects to Google Drive through Grok's built-in connector. No API keys
  • Reads only the folders you choose and skips anything you mark off-limits
  • Builds a Library Index Google Doc: every file linked, summarized and tagged by topic
  • Answers questions in plain words with links to the exact file, and says so when the docs don't cover it
  • Spots outdated docs, conflicting versions and duplicates, and flags them for you to review
  • Drafts cheat sheets, summaries and missing docs as new Google Docs once you OK them
  • Optional monthly library check on the first Monday at 9 AM
  • Never edits, moves, shares or deletes your existing files
  • Keeps an activity-tracker CSV of scans, answers and flags

What it can access and what it never does

What it can access

  • Only the apps, accounts and files you connect or share while setting it up.
  • Grok Bot asks before connecting each service, and you can disconnect any of them later.
  • It runs in your own Grok Bot workspace. Grokbot Agents never sees your chats or data.

What it never does

  • It drafts, you approve: nothing goes out without your OK.
  • It never works outside the rules and limits you give it during setup.
  • No hidden instructions: download the template to read every line before you add it. Never paste passwords into the chat.

How to install this Grok Bot agent

Manual install:

  1. Download the template JSON above
  2. Get the Grok Bot app and sign in
  3. Create a new bot in Grok Bot
  4. Open the downloaded JSON and copy the instructions
  5. Paste into the first message: "Set yourself up with these instructions"
  6. Answer its setup questions and connect services

Setup steps for Drive Knowledge Librarian

1

Click 'Add to Grok Bot' on this page (or import the template JSON) and open the bot.

2

Connect Google Drive: Grok Bot sidebar > Connect apps > Google Drive > Add > sign in and Allow. On a company account, your Google admin may need to trust the Grok app.

3

Answer the bot's first question: which Drive folder holds the docs it should learn first?

4

Tell it about any off-limits folders (HR, payroll, personal), then let it scan and approve the Library Index doc.

5

It creates its activity tracker /workspace/trackers/drive-knowledge-librarian.csv (date,action,folder,file_name,file_link,status,approved_by_user,next_action,notes).

6

Ask questions anytime: "What's our refund policy?" or "Where's the onboarding checklist?"

FAQ

Will it change or delete my files?

No. It only reads your existing files. The only things it creates are the Library Index doc and new drafts you ask for, after your OK.

Can it see my whole Drive?

The connector can open what your Google account can open, but the bot works only in the folders you name and skips anything you mark off-limits.

Why does Google say an admin needs to review Grok?

Company Google accounts often block new apps. Your Google Workspace admin can mark Grok as Trusted under Security > API controls. Personal Gmail accounts don't need this.

What file types can it read?

Google Docs, Sheets, Slides, PDFs with real text, and most text files. Scanned image PDFs and some Markdown files may not read; convert them to a Google Doc.

Should I use this or Notion Second Brain?

Use this if your knowledge already lives in Google Docs and PDFs and you mostly need answers. Use Notion Second Brain if you want to capture and organize new notes and tasks from chat.

Does it share my documents with anyone?

Never. It doesn't change sharing, send links or email files.
