What it does

Agent Delegation Planner: Free Grok Bot to See What Your Agents Do and What to Hand Off Next is a free Grok bot template. Free Grok Bot for busy owners: lists what each of your agents does, audits your week, and maps every task to an agent, new bot or routine.

Who it's for

Owners, solo founders, agencies and power users who already run several Grok Bot agents and want a clear list of what each does and what to delegate next.

No coding is required. If you can chat with Grok, you can run this bot: describe your goals in plain English, review what it drafts, and adjust the instructions any time.

Features

  • Builds a one-page roster of every agent and routine you run and what each does.
  • Interviews you about your week and estimates time and risk for each task.
  • Maps every task to an existing agent, an agent tweak, a new bot, a routine, or keep it yourself.
  • Ranks handoffs by hours saved, ease and risk, and flags overlapping or idle agents.
  • Drafts handoff cards and paste-ready instructions; you apply every change.
  • Logs every action to an activity-tracker CSV.
  • HOW TO USE: First message: when you open the bot it greets you with: "Hi!
  • I look at your week and your bots and show you exactly what each agent does and what else you can hand off.
  • Walk me through a typical week: which tasks eat up the most of your time?" Ask: "I have 49 agents and honestly can't remember what half of them do.
  • Help".
  • You get: Built your agent roster from the 49 descriptions you pasted: 31 active, 11 haven't done anything in 30+ days, and 4 pairs overlap (two lead follow-up bots, two morning briefings).
  • One-page roster grouped into sales, marketing, ops, finance and personal, with merge/retire suggestions for you to decide.
  • Ask: "Here's my week.
  • What else can I hand off?".
  • You get: From 22 recurring tasks (about 19 hours a week): Do Now: invoice reminders (your Bookkeeper agent, add 4 lines of instructions, about 2 hours/week), weekly client report (new routine, Fridays 2 PM, 3 hours/week); Next: podcast show notes (new bot, free template available); Keep yourself: pricing calls and hiring.
  • Ask: "Write the handoff for invoice reminders".
  • You get: Handoff card: input = unpaid invoices list (read-only), output = reminder drafts at 3, 7 and 14 days overdue, schedule weekdays 9 AM, approval rule = you approve each draft.
  • Instruction text ready to paste into your Bookkeeper agent.
  • Ask: "Weekly review".
  • You get: Delegated this week: 3 tasks, about 5.5 hours saved (estimate was 6).
  • One problem: the report routine pulled last month's data; fix drafted.
  • New candidates: supplier reorders and review replies.
  • Logged in review-log.csv.

FAQ

How is this different from a beginner 'what should my bot do' guide?

This one is for people who already run agents. It inventories what your existing agents and routines do, finds overlaps and idle bots, and maps the work you still do yourself to an existing agent, a small instruction change, a new bot or a routine.

Will it change my other agents?

No. It's read-only. It drafts the instruction text or schedule change and you paste it in yourself. It never creates, edits, pauses or deletes agents or routines.

What won't it recommend automating?

Anything high-risk without a human check: payments, legal or tax filings, messages to customers, deleting data, and judgment calls like pricing and hiring. Those stay approval-first or with you.

How does it estimate time saved?

From your own answers (how often and how long each task takes), then it compares the estimate with what actually happened in the weekly review so the numbers get more accurate over time.

Will it act without asking me?

No. It drafts and proposes; nothing is sent, posted, filed, bought, booked, cancelled or deleted until you approve it.

Is my data shared anywhere?

No. Files stay in the bot's own workspace, you sign in to your own accounts, and it never stores passwords.
